Scheduling Coordinator

A Scheduling Coordinator position will include a variety of responsibilities to support scheduling of labor and other resources as needed, to execute projects and service for our clients.  The position will include daily management of field staff schedules, coordination with field employees, project managers and clients and other duties to ensure the manpower needs of field work is met on a consistent basis.
A Scheduling Coordinator must provide excellent customer service and maintain strong professional relationships with our clients, vendors, partners and fellow employees. The position demands solid knowledge of low voltage systems as well as strong communications skills and organizational and multi-tasking capabilities to successfully schedule and manage resources for a variety of field work. The Scheduling Coordinator will report directly to the Director of Labor Resources and has no supervisory responsibilities.

  • Provide excellent customer service and maintain strong professional relationships with our clients, vendors, partners, and fellow employees
  • Gather information from the Project Managers such as manpower needs and project timelines that are necessary to ensure a successful project
  • Manage and process scheduling requests via the company’s ticketing and ERP system
  • Assign project field staff to specific projects utilizing the knowledge of each field persons capabilities, geographic considerations and badging requirements
  • Communicate the job assignments to each of the field staff and Project Managers on a regular basis
  • Maintain a detailed and accurate schedule, noting each job assignment for each technician
  • Provide daily support to the field employees
  • Utilize good judgment in satisfying scheduling requests or complaints
  • Provide timely and accurate communications to the work force and office personnel as necessary
  • Maintain lists of jobsites requiring badging and the employees that are badged for those sites
  • Approve/decline vacation requests from the project field staff based upon company needs
  • Track and communicate any traveling required by the project field staff for per diem purposes
  • Utilize the time keeping system, finance system and schedule to answer questions regarding technician’s past work assignments
  • Coordinate service work as needed:
    • Coordinate service schedule with clients based upon availability of the job site
    • Open service work order in Tigerpaw system with all necessary details when necessary
    • Coordinate necessary resources to ensure preparedness for service calls when necessary
    • Review completed work orders from technicians and apply description of work completed, labor, and materials used for billing
    • Enter service order details, costs and markup and into Tigerpaw system for billing
  • Other related duties as required or assigned
  • High school graduate or equivalent (minimum)
  • Strong understanding of low voltage systems and practical field experience
  • Strong time management and organizational skills
  • Strong problem solving, decision-making abilities
  • Willing and able to multi-task in a fast paced, multi project-based environment
  • Computer proficiency in a Windows environment using MS Office (Outlook, Excel, Word) and other common programs
  • Strong written and oral communication skills
  • Exceptional interpersonal skills
  • Strong understanding of scheduling / dispatching field staff
