The Administrative Assistant for Labor Resources is responsible for supporting the Labor Resource Group with the field employees, approving field time cards, administrative duties regarding MTG vehicles, safety equipment, company clothing and other areas.  The Administrative Assistant must provide excellent customer service to internal and external clients and possess exceptional organizational skills. 
  • Provide support to the Scheduling and Service Coordinators daily
  • Approve timecards daily – verify for accuracy and make corrections
  • Process field staff expense reports weekly
  • Process field staff credit card reports monthly
  • Audit Safety reports and follow up for missing information
  • Audit Timecards / GPS
  • Maintain field employee certifications
  • Maintain Home Depot Card records
  • Maintain Holiday Card records
  • Maintain the Enterprise vehicle maintenance system – monitor for vehicle issues and reminders
  • Coordination and management of fleet vehicle records - tabs, plates, leases, and VIN records
  • Provide excellent customer service and maintain strong professional relationships with our clients, vendors, partners, and fellow employees
  • Maintain inventory and distribution of safety equipment
  • Maintain inventory and distribution of company clothing for field staff
  • Assist with coordinating bi-yearly Safety Meetings
  • Provide daily support to the field staff
  • Assist with the billing process for service work
  • Assist management with paperwork, meeting notes and filing
  • Maintain Labor Resource documents on Sharepoint for department
  • Other related duties as required or assigned
  • High school graduate or equivalent (minimum)
  • Strong time management and organizational skills
  • Strong attention to detail and continual improvement mindset
  • Willing and able to multi-task in a fast paced, multi project based environment
  • Computer proficiency in a Windows environment using MS Office (Outlook, Excel, Word) and other common programs
  • Strong written and oral communication skills
  • Exceptional interpersonal skills
  • Understanding of scheduling, low voltage systems, or practical field experience a plus but not required
